The Design Brief

Understanding the Client’s Vision

Every installation starts with a conversation. Whether it’s a corporate galaawards ceremonybrand launch, or private celebration, we begin by understanding the event’s theme, audience, and objectives.
  • What’s the mood or message?
  • Is there a brand story to tell?
  • What colours, styles, or centrepiece ideas are in play?
From there, our design team—led by Gary Martin, with CAD support from Jake Rheams and 3D visuals by Fred Martin—gets to work creating a design proposal tailored to the client’s brief.

Prototyping and Preparation

From Sketch to Reality

Once a concept is approved, the real prep begins:
  • CAD layouts ensure every piece fits the venue perfectly.
  • 3D visuals help clients visualise the end result before anything arrives on-site.
  • Products are prepped, polished, programmed, and packed with care at our workshop.
Our team also double-checks custom branding elementslighting calibrations, and any technical integrations like DMX lighting or robotic features.

Logistics & Load-In

Timing is Everything

Event venues don’t always offer long set-up windows—so efficiency is key. Our logistics team coordinates:
  • Transport planning: Ensuring safe delivery across the UK and Europe.
  • Load-in timings: Arriving at the right time to avoid clashing with caterers, AV crews or entertainment setups.
  • Health & safety compliance: All our team members are trained to work efficiently and professionally on-site.
Whether we’re loading into a grand hotel ballroom or a modern conference space, we arrive fully briefed and ready to install.

The Installation

Bringing the Vision to Life

Once on-site, the magic starts to happen.
  • Centrepieces are carefully placed and wired.
  • Lighting is tested and adjusted, often colour-matched to the event’s brand or theme.
  • Large-scale props, like branded sculptures or entrance features, are assembled and aligned for impact.
If robotics are part of the show—like our Maestro robots—Fred ensures they’re programmed, synced, and show-ready.

Final Checks and Finishing Touches

It’s All in the Detail

Before we leave the venue:
  • Our crew conducts final lighting tests and safety checks.
  • Props are wiped down, centrepieces perfectly aligned, and table numbers double-checked.
  • The lead designer signs off on the complete aesthetic to ensure everything reflects the approved vision.
We often stay until just before doors open, making final tweaks to ensure the first guest walks into an atmosphere that’s polished and unforgettable.

Derigging & Departure

Respecting the Venue and Client

After the event, our team returns—often in the early hours—to safely dismantle the installation:
  • Products are packed with care to avoid damage.
  • The venue is left as it was found (or cleaner!).
  • Our vehicles are loaded and the crew heads back to HQ, ready to prepare for the next transformation.
